Operational Context & The Problem

An educational institution with hundreds of daily students relied on paper registers and disjointed spreadsheets. Morning check-in created severe front-desk congestion, attendance tampering occurred, and calculating monthly attendance percentages for exam eligibility consumed days of manual administrative work.

Scope & System Boundaries

Roles & Key Operations

  • Rapid barcode badge scanning (< 1 sec per student check-in)
  • Student enrollment, batch allocation, and profile photo management
  • Automated monthly attendance report generation with minimum percentage alerts
  • Fee status verification and fee ledger management

Boundaries & Design Focus

  • Internal academy LAN and secured VPS host
  • Excludes open self-registration by unverified public users
  • Hardware dependency requires configured barcode reader with standard keyboard emulation (HID).

Operational Workflow

Student Enrollment & ID Issuance

Student is registered with biometric details, photograph, enrolled course batches, and assigned a unique barcode ID badge.

Morning Check-in Gate

Student taps badge at gate reader; event stream matches barcode, logs timestamp, checks fee standing, and flashes visual identity confirmation.

Duplicate & Exception Safeguard

System prevents double-scanning within shift window and flags unrecognized or suspended student cards immediately.

Reporting & Admin Audit

Faculty and administrators access live attendance summaries by course batch, exportable for academic accreditation.

Key Engineering Decisions

Decision 01Hundreds of students arriving within a 15-minute window required sub-second attendance processing without UI freeze.
Alternative Considered

Manual dropdown selection or search-by-name on a web form.

Architecture Chosen

Global event listener capturing hardware HID scanner buffer with debounced barcode recognition and instantaneous cache lookup.

Technical Rationale

Front-desk staff cannot click through form inputs for every student; scanning must work passively in the background.

Trade-off Accepted

Required handling raw USB keyboard input buffers and filtering accidental operator keystrokes.

Decision 02Institution required on-premise control and privacy over student data without unpredictable monthly per-seat SaaS costs.
Alternative Considered

Cloud-hosted multi-tenant school SaaS subscription.

Architecture Chosen

Dedicated MERN stack deployed to a configured Hostinger Linux VPS with custom Nginx reverse proxy and PM2 process management.

Technical Rationale

Gave the academy complete data ownership, fixed operational hosting costs, and dedicated database capacity.

Trade-off Accepted

Server updates, database backups, and OS-level security patches are managed at the infrastructure layer.
